Role Purpose
My client is seeking an experienced Mandarin Speaking Residential Property Manager to oversee the end‑to‑end management of a designated property portfolio. The role requires strong operational control, excellent communication skills, and a proactive, solutions‑driven approach to ensure high landlord satisfaction, smooth tenancy cycles, and full regulatory compliance.
You will act as the primary liaison for landlords, tenants, contractors, and block management teams, ensuring all maintenance, tenancy, and compliance processes are executed to a high professional standard.
Key Responsibilities
Maintenance Management
(Training and support provided where required)
- Oversee all maintenance activity using Fixflo, managing the complete workflow from tenant triage through to quotation, contractor instruction, invoice approval, and final sign‑off.
- Ensure maintenance tasks are prioritised effectively, with consistent communication provided to both landlords and tenants.
- Confirm timely close‑out of jobs and ensure all work meets quality expectations.
Emergency & Block Coordination
- Respond promptly to urgent issues such as leaks, heating failures, and electrical outages.
- Liaise with Block Management teams to resolve communal or building‑related matters efficiently.
- Maintain accurate logs of all emergency actions and follow‑up requirements.
Tenancy Lifecycle Management
- Manage the full tenancy lifecycle, including:
- Renewal negotiations and drafting of renewal documentation.
- Move‑out coordination, including check‑out appointments and utility readings.
- Organising and supervising void works, refurbishments, and property preparation for re‑letting.
- Ensure minimal void periods and maximise rental income opportunities.
Deposit & Compliance Administration
- Prepare and submit TDS dispute evidence, deduction summaries, and check‑out reports.
- Ensure all properties maintain up‑to‑date safety and compliance documentation (EICR, Gas Safety, EPC, etc.).
- Maintain accurate compliance records and chase renewals ahead of expiry dates.
Financial & Operational Administration
- Monitor and follow up on rent arrears, working collaboratively with tenants and Finance.
- Process and track insurance claims, providing all required evidence and documentation.
- Review and audit supplier invoices for accuracy prior to Finance processing.
Relationship & Portfolio Management
- Serve as the primary point of contact for landlords and tenants throughout the tenancy.
- Provide timely updates, detailed inspection reports, and professional advice to landlords.
- Maintain high standards of customer service and uphold the company’s service‑oriented values.
Skills & Experience Required
Essential Requirements
- Proven experience in UK residential property management.
- Proficiency in Fixflo and property CRM/management systems.
- Strong knowledge of AST legislation, TDS processes, and UK safety compliance requirements.
- Excellent communication and negotiation skills, with a closure‑focused work style.
- Ability to manage multiple tasks under pressure and to deliver consistently high‑quality work.
Preferred Experience
- Experience managing a portfolio of residential properties within a busy environment.
- Strong contractor management experience and an understanding of property maintenance standards.
- Prior experience preparing TDS evidence bundles or managing disputes.
- Confidence working autonomously with strong organisational and prioritisation skills.
